What's the difference between Practice Identity and Practice Setup?
Practice Identity is the brand engagement: logo, color palette, typography, brand guide, messaging guide. Practice Setup is the operational layer: domain, email, custom site with admin portal, practice management software, scheduling, document templates, search visibility, and analytics. Identity is what you look and sound like. Setup is how you actually run. Most practitioners eventually need both, which is why Full Practice exists as a bundle.
Do I need both, or can I get just one?
Either alone or both together. If you already have brand assets you're committed to (logo, colors, fonts), Practice Setup alone is the right call and the existing brand drops in. If you have nothing on the brand side, do both: brand ships first, then feeds directly into the site, with no rework. If you're not sure, book a 20-minute intro call and we'll work it out.
Why these prices?
Practice Identity at $1,500 is a complete five-deliverable brand system that would otherwise be three to five conversations with separate designers. Practice Setup at $2,500 is full digital infrastructure across roughly ten deliverables, comparable to hiring three or four vendors and coordinating them yourself. Full Practice at $3,500 is both, with $500 off because the brand and site work share context. Fixed price, fixed scope. No add-ons, no scope creep, no surprise invoices.
What's the founding rate, and how do I qualify?
The first three clients of each service get the founding rate ($1,000 Practice Identity, $1,500 Practice Setup, $2,000 Full Practice) in exchange for a testimonial and a case study after handoff. The slots are first-come on the kickoff call. The case study is collaborative, you review it before anything goes public, and your name is only used with your permission.
How does payment work?
50% at booking, 50% at handoff. Cards or ACH. The deposit reserves your slot since I take on one or two clients per month. The balance is invoiced after the handoff call, due within 14 days. For Full Practice, the full bundle is billed 50/50 across the combined timeline.
What do I pay for separately?
Third-party tools you own and pay for directly: domain registration (about $15 a year), email service (about $7 per user per month if you choose Google Workspace or Proton), and practice management software (varies by system). Everything is set up under your accounts. No markup, and PracticeGrove pays for nothing on your behalf.
What if I need to cancel?
Before the kickoff call, the deposit is fully refundable. After kickoff, work delivered up to that point is yours, but the deposit isn't returned and the 50% balance isn't invoiced. After handoff, the engagement is complete and there are no refunds. The full terms live in the service agreement, which you review and sign before any invoice goes out.
Can I just do this myself with Squarespace, Wix, or Canva?
Yes. The value isn't the tools. It's the time saved and the integration done right. Most practitioners could set this up themselves. They also spend weeks doing it on nights and weekends instead of seeing clients. PracticeGrove is for the practitioner who'd rather spend that time on the practice itself.
What's not included?
No ongoing marketing: content strategy, ongoing SEO retainer, paid ads, or social media. Practice Setup does include site copy in your voice (shaped from your intake answers) and the foundations for being found: Google Search Console, Bing Webmaster Tools, sitemap submission, and Google Analytics, all set up under your accounts. Practice Identity ships the complete brand package, but doesn't include ongoing creative direction or marketing assets afterward.
What if I switch practice management software later?
The website connects to your practice management software through standard integrations. If you switch later, those connections need to be re-pointed at the new system. That's a separate engagement, not part of the original setup. Most practitioners stay with the practice management software they choose for the first year, especially when the choice gets made carefully on the kickoff call.
What about ongoing support?
14 days of email support is included after handoff for questions, edits, and any setup loose ends. Beyond that, hourly work at $50 per hour priced by scope, no retainer or recurring plan. PracticeGrove isn't ongoing. The setup is the setup. The brand is the brand. After handoff you own a working foundation you can hand to any future designer or developer.
